A: The first screen in the Acquisitions module displays 2 choices:
Choose this if you wish to set up a new order.
Step 1: Pick Supplier
Warning: If the supplier's details are not in the system then you must set this up by clicking: Add Supplier.
Step 2: Click Add - This displays a New Shopping Basket for the supplier you have chosen.
Step 3: Title Search – type in name of serial and click Search. As the item is a new acquisition it will show “No matching record found” when you do the search.
Step 4: Add New Biblio
Step 5: Fill out New Order Form Fill out all mandatory fields (red outlined boxes) and as many other fields as required.
Choose this if you wish to receive or modify an order that has already been set up.
Step 1: Search by either:
Once located you will be taken to the Receive/Modify Order form.
Step 2: Complete the details.
A: At the bottom of the screen there is information about budgeting details set up in the Budgets & Book Funds section of Acquisitions. It will also display Exchange Rate details.
A: Follow these steps:
Step 1: Go to Acquisitions – Budgets & Book Funds (or Go to System Administration – Book Funds)
Step 2: Add a Book Fund. (It can be no more than 5 characters).
Step 3: Enter a more descriptive name for the fund so it is easily recognised. Book Funds are accounts that you establish to keep track of your expenditures for library materials. They may be used for any kind of material, not just books, and should match the lines in your materials budget.
Step 4: Add Budget. Once you have set up a fund, you will see a link to a page for setting up the fund Budget
Step 5: Enter the beginning and end dates of your budget year and the amount of money for that particular budget line
Warning: Do not use any kind of currency notation (like “$”) or commas when entering the number. (Commas will be converted to decimal points). The dates will not be saved correctly unless you have set your date format in the System Preferences section of the Parameters page - do this before setting budgets.
A: The exchange rate is used to calculate the balances in your Book fund materials budgets when you purchase materials.
A: Give the local currency a rate of 1. For foreign currencies set the approximate exchange rate compared to your currency. If you do business with vendors who charge in a different currency enter a name for that currency (e.g. USD).
